This policy explains what personal data Alam Kidz School collects through alamkidz.com, why, how long we keep it, who we share it with, and the rights you have under Indonesia’s Personal Data Protection Law (Law No. 27 of 2022, “UU PDP”).
1. Who we are
The website and the admissions process are run by Alam Kidz School Bali, operated by Yayasan Anak Cinta Alam (“we”, “us”), which is responsible for your personal data.
- Alam Kidz Kindergarten: Jl. Pura Dalem Ketewel No. 9, Ketewel, Kec. Sukawati, Kab. Gianyar, Bali 80582, Indonesia
- Alam Kidz Primary: Jl. Bypass Prof. Dr. Ida Bagus Mantra No. 99, Ketewel, Kec. Sukawati, Kab. Gianyar, Bali 80582, Indonesia
- Email: info@alamkidz.com
2. What we collect and why
2.1 Admissions Pack request
When you unlock the Admissions Pack we collect your name, email address, WhatsApp number, the programme you are interested in, and your child’s month and year of birth, together with your consent. We use this to send you the pack, to suggest the right programme, and to answer follow-up questions. Legal basis: your consent.
2.2 Online application
When you apply for a place we collect: – About your child: full name, nickname, place and date of birth, gender, nationality, religion, languages, and — only if you choose to tell us — special needs, allergies, medical history and blood type; – About parents or guardians: names, relationship to the child, occupation and employer, phone/WhatsApp, email and home address; – Schooling: previous school, last grade, reason for applying, and siblings at Alam Kidz; – Documents: the child’s photo, birth certificate, family card (Kartu Keluarga), latest report and immunisation card; – An emergency contact (name, phone number and relationship) and how you heard about us.
We use this to assess the application, to contact you about it, and — if your child joins — to prepare for their first days safely. Health and special-needs information is used only for your child’s safety and care. Legal basis: your explicit consent as parent or guardian (children’s and health data are specific personal data under UU PDP), and the steps needed before an enrolment agreement.
2.3 Job applications
When you apply for a job through our careers pages we collect the details in the application form (such as your name, contact details, CV and cover letter) to consider you for the role. Legal basis: steps before an employment contract, and your consent.
2.4 Questions and contact
Contact form. When you send a question through the form on our Contact page we collect your name, email address, your WhatsApp number (only if you add it), the campus you choose and your question. We use them to reply and send you a confirmation. Please do not put your child’s health information in the question. Legal basis: your consent.
WhatsApp, phone and email. If you contact us by WhatsApp, phone or email, we receive what you send us and use it to reply. These conversations take place outside this website.
2.5 Website use
- Analytics (only with your consent): Google Analytics 4 records which pages are visited and which buttons are used (for example “apply” or “WhatsApp”), using cookies. We never send names, contact details or what you write in a form to Google Analytics — only categories such as the programme you chose. You choose whether to allow analytics in the cookie banner. See our Cookie Policy.
- Security: to protect the site we record the IP address of failed login attempts and of blocked requests. In admissions forms we keep only a one-way hashed form of your IP address, to limit abuse.
- Embedded content: some pages load content from other providers, which receive your IP address when the page loads: the accessibility tool (Elementor), Google Fonts, the map on our Campus page (Google Maps), and Google reviews on our About page (Trustindex).
3. How long we keep it
| Data | Kept for |
|---|---|
| Admissions Pack request without an application | 2 months, then deleted automatically |
| Documents uploaded in an application that was not submitted | 24 hours, then deleted automatically |
| Hashed IP address attached to a form | 30 days |
| Question sent through the Contact form | 6 months, then deleted automatically |
| Application that was not accepted | 12 months after the decision, then deleted automatically |
| Application that was accepted or put on the waiting list | Kept, and moved to a separate archive once the admissions cycle is over, because the school may need it later (for example for school records or a sibling’s application). You can ask us to delete it. |
| Job application | 12 months after it was sent, then deleted automatically |
| Analytics data in Google Analytics | 14 months |
| Backups of the website | up to 14 days (database) and 8 weeks (files) |
4. How we protect it
Application data and uploaded documents are stored encrypted, in a location that cannot be reached from the web, and only authorised admissions staff can open them. The site uses HTTPS only, a firewall and login protection. Emails from the website are sent through our school email service.
5. Who we share it with
We do not sell personal data. We share it only with service providers that help us run the website and the school, and only as needed:
| Provider | What for |
|---|---|
| Hostinger (server in Indonesia) | Hosting the website and its database |
| Google (Workspace, Drive, Analytics, Maps, Fonts) | School email, website backups (application data inside them stays encrypted), analytics with your consent, the campus map, web fonts |
| Elementor | Accessibility tool on the website |
| Trustindex | Showing Google reviews on our About page |
| Wordfence | Website security |
| Calendly | Booking a school tour — only if you choose to use the booking link; Calendly’s own privacy policy applies |
Some of these providers may process data outside Indonesia. Where that happens we rely on the safeguards required by UU PDP for cross-border transfers.
6. Your rights
Under UU PDP you can ask us to: tell you what data we hold about you and give you a copy; correct it; delete it or stop processing it; withdraw your consent at any time (this does not affect processing that already happened); and object to or restrict certain processing. You can also complain to the authority responsible for personal data protection in Indonesia.
To make a request, email info@alamkidz.com with the subject “Personal data request”. Our school administration handles these requests and will reply within the time required by UU PDP. We may ask you to confirm your identity first.
7. Children
Children’s personal data is only collected from, and with the consent of, a parent or guardian. Our website is written for parents and guardians, not for children.
8. Changes
We will update this page when our practices change and show the date at the top.
